Mosaic Multicultural Connections were looking for assistance to run their brand launch and their COVID-delayed 40th anniversary.
Mosaic Multicultural Connections (registered business name of Northern Settlement Services) assists people from migrant and refugee backgrounds and their communities. Their work spans across various regions, including Newcastle, Hunter Valley, Lake Macquarie, Central Coast, and New England.
They are a not-for-profit organisation and have been operating for over four decades.
Following a government grant received in late 2021, the organisation, which was known as Northern Settlement Services then, wanted to rebrand to better represent their vision and values and had completed an extensive consultation process and resulting new brand.
In addition, the organisation had recently hit its 40th anniversary milestone in 2021 but were unable to celebrate due to COVID-19 restrictions. Rather than miss a good celebration, the team chose to celebrate their new name, their revamped brand and their anniversary during two events in 2022.
With two events to run, their leadership team needed event management assistance to get both events across the line.
The situation
Sharon Daishe (CEO) and Jon Chin (Chair) of Mosaic contacted our team looking for help to run their two events. As experienced event managers and a business that is committed to giving back, we offered to do the work as a passion pro-bono project.
The for-purpose organisation was looking to hold a new brand launch for staff and special guests, as well as a larger scale 40th anniversary event to celebrate the work of their organisation and the beauty of culture in the region.
With a short two-month period between the events, our team was presented the challenge of working on two events for the same business at the same time.
Luckily, we thrive on challenges!
The solution
Working with the management team, our team attended weekly meetings to discuss the requirements and plans for each event. Our team came on board part way through the event planning process, so we were able to offer our recommendations and advice to assist with the smooth delivery of the events.

We also assisted with the development of a press release announcing the new brand, which was shared and published within various publications in the Hunter region.
Following the implementation of some of our recommendations, our team then assisted with running both events on the day. Checklists in hand, checked in attendees, conducted sound tests and made sure everyone was adhering to the infamous run sheet.
While the events faced some unexpected challenges on the day (as is normal for most events!), both ran smoothly and received great feedback from attendees.
The 40th anniversary was a large-scale event at NEX, with over 300 attendees present. It had a complex run sheet, with various performances from difference cultures to be included, with intricate audio requirements, a keynote speaker, cultural displays and more!
Following our arrival, we assisted with the sound check and finalising the table and event set up to ensure everything was ready to go. When the doors were ready to open, we were set up to check in attendees for the event and direct them to their table, allowing the Board and staff from Mosaic to properly greet their guests and welcome them with a personal touch.
We remained on hand during the night to efficiently pull all elements together to ensure a seamless and enjoyable evening for all. And of course, we ended the night on the dancefloor – which was a beautiful experience with guests from different backgrounds getting up to teach everyone dances from their culture.
The results
Our team has been privileged to attend and assist with several events across the years, but the two we attended for Mosaic were truly one-of-a-kind experiences.
We were blown away with the beautiful cultural representation and unity the events displayed. Both events featured guest speakers who have been assisted by the Mosaic team, former refugees who have overcome immense challenges, and fantastic cultural performances.
While event management is something our team is experienced with, these pro-bono events will remain memorable for our team for many years to come.
